
Charter Terms and Conditions
GENERAL INFORMATION
We want your experience with Coachmaster to be smooth and enjoyable. While we always do our best to ensure everything goes perfectly, please note that Coachmaster is not responsible for personal belongings left in any vehicle.
In the rare event of a mechanical issue or scheduling delay, we may substitute a similar vehicle with the same capacity to keep your trip on schedule.
DEPOSITS
To confirm your reservation, a deposit is required by the date listed on your quote. This secures both your vehicle and driver for your selected trip dates.
Deposits can be paid conveniently online by card, or by check or money order.
CANCELLATIONS
Deposits are non-refundable if a reservation is not canceled at least 7 days prior to the trip date.
FINAL PAYMENTS
Final payment is due 7 days before your service date. Any additional charges that may occur during your trip such as extended time or itinerary changes—will be invoiced after the trip is completed.
BEVERAGE SERVICE
For everyone’s comfort and safety, alcoholic beverages may not be consumed in our sedans. Guests are, however, welcome to enjoy drinks responsibly in the passenger area of our charter buses.
Coachmaster Transportation reserves the right to refuse service to anyone if necessary to ensure the safety and comfort of all passengers. Have a special request? Just let us know we’ll do our best to accommodate you.

AIRPORTS
Our drivers make every effort to provide a seamless airport experience. At all airports, drivers will display a sign with the passenger’s last name or the company name they represent.
Binghamton Airport Arrivals
Your driver will meet you inside the terminal at the Visitors Center booth near the luggage area. If your flight is delayed or you cannot locate your driver, please call our operations hotline at 607-748-2322 for assistance.
Syracuse Airport Departures
Drop-offs are made curbside in front of your airline’s check-in area. Due to airport policy, our drivers cannot leave vehicles unattended at the terminal, but baggage assistance is available curbside from airline red caps.
Syracuse Airport Arrivals
Sedan, limousine, and van passengers: Drivers meet guests in the baggage area at the bottom of the escalators.
Bus passengers: Drivers meet guests outside the terminal in the designated loading area near baggage claim.
JFK / LaGuardia / Newark Arrivals
Domestic flights: Sedan, limousine, and van drivers meet passengers in the baggage area.
International flights: Drivers meet passengers outside the customs area once you enter the terminal.
Bus Pickups / Group Arrivals: JFK / LaGuardia / Newark / Philadelphia Due to limited bus parking near terminal areas, our vehicles are staged away from the airport until contact is made with your group leader.
Once your group has collected all luggage and gathered outside the terminal, the group leader should call our operations hotline at 607-748-2322 for assistance with the terminal number and door location.
Your bus will then be dispatched for immediate pickup.
CRUISE SHIPS
Because disembarkation times can vary, most cruise pickups are scheduled for 10:00 AM at the designated port pickup area.Port Authority regulations require bus companies to submit details 72 hours before pickup, including the group leader’s
Safety Commitment
Your safety is our top priority. Coachmaster strictly follows state and federal highway safety regulations. Drivers may operate a vehicle for a maximum of 10 hours. For one-day trips or tours, we recommend planning your itinerary with this in mind to ensure a safe and comfortable journey.
